Terms & Conditions
All bookings for places on training course, meetings, seminars or similar events offered and delivered or hosted by Open College Network North East Region (OCNNER) staff or their representatives are subject to the following Terms and Conditions.
1. Definitions
In these Terms and Conditions and any accompanying literature:
1.1 ‘We’ means OCN North East Region.
1.2 ‘You’ means the person placing a booking for themselves or on behalf of a work colleague.
1.3 ‘Organisation’ means the name of the organisation who the person making the booking and the delegate(s) work for or represent and/or the organisation providing OCNNER courses for learners.
1.4 ‘Session’ means the training course, meeting, seminar or similar event for which places are being booked.
2. Session Bookings
You (or your Organisation’s representative) must complete and return a booking form to ensure your place at a session is reserved. Not less than 5 working days prior to the event, you will receive joining instructions and directions to the venue.
3. Session Fees
Fees for OCNNER courses are detailed in information relating to the course and on our website. OCNNER also offers a range of short courses to members without charge. These are available to non-members on payment of a fee for the individual session. When fees are applicable, you will be invoiced by OCNNER.
4. Limited Numbers
We make every effort to offer any particular session at more than one location in the region to allow as many interested parties as possible the opportunity to attend. We strive to deliver high quality, effective sessions at all times. To facilitate this, the number of bookings accepted for any given session may be limited.
5. Changes to or Cancellation of Bookings
5.1 Should you need to change or cancel your booking, please contact us as soon as possible via one of the methods shown in Paragraph 7.
5.2 We understand that changes in circumstances mean it is not always possible for a person booked onto a session to attend. Cancellations can, however, cause us difficulties and are therefore subject to the following conditions:
a. Delegates can be substituted at any time prior to the commencement of the session.
b. A transfer to another session (if applicable) will be considered but is subject to limited numbers (see Paragraph 4).
c. A booking may be cancelled without incurring a late cancellation charge, providing notification of the cancellation is received at the OCNNER office not less than 5 clear working days prior to the session taking place.
d. Where session fees are applicable and payment has been made prior to attending the session, a full refund will be given in the event of a cancellation, providing notification of cancellation is received at the OCNNER office not less than 5 clear working days prior to the session taking place.
e. Where session fees are applicable and a place is not cancelled, or is cancelled in less than 5 clear working days prior to the session taking place, full fees will remain payable.
6. If we need to Change or Cancel your Booking
6.1 We will endeavour to make every effort to run all published sessions as we realise that cancellations cause inconvenience to everyone involved. We do, however, reserve the right to alter or reschedule sessions, timings, speakers, fees or venues without prior notice. Such alteration or cancellation will only be in exceptional circumstances and in such cases we will endeavour to give you as much notice as possible.
6.2 In the event of any change, alteration or cancellation of a session, we will offer you a re-booking on any replacement session we run, or will refund any fees (if applicable) paid to us by you if you do not wish to book onto a replacement session.
6.3 NB: As stated in Paragraph 2, you will receive joining instructions not less than 5 days prior to the date of the session. With this exception, we will contact you only if the session is being altered, cancelled or rescheduled. You should, therefore, assume the session is going ahead unless you receive notification of alteration, cancellation or rescheduling.
