5. Do I need Unique Learner Numbers for my learners?
Click here for information on ULNs
6. Is there a minimum age for learner registration?
- This is agreed between yourself and the Development Manager on initial discussion of the course, and is indicated on the New Course Notification Form. NOCN Qualifications such as Progression Qualifications have a minimum age of 16
- NOCN StepUp Qualifications have a minimum age of 14
- Local courses have a minimum age of 14
7. What Intended Credit Target should I indicate?
The information you enter in the Intended Credit Target box is used to indicate the intended credit banding which is the basis of the fee levied on your invoice. If you are unsure of the number of credits your learners will achieve, you should enter a lower number of credits. If a higher number are achieved, you will then be invoiced for the additional achievement separately. See our Fees and Charges section for more information.
8. What are Levels and Credits
Units of learning have levels and credit values, showing the value of achievements:
- The Level represents how difficult the unit is (Entry Level up to Level 4)
- The Credit value represents the amount of time it takes to complete the unit.
There are three sizes of qualifications:
- Awards (1 to 12 credits)
- Certificates (13 to 36 credits)
- Diplomas (37 credits or more)
The qualification type – Award, Certificate, Diploma – represents the size of a qualification, not how difficult it is.
9. Where and how do I upload my CLRF to register my learners
10. What happens after I register my learners
A Recommendation for the Award of Credit (RAC) will be issued – please check that all learners are registered and the correct units are attached. You will need to retain the RAC for the Quality Reviewer to sign-off at their next visit.
11. Will you email me to let me know the RAC is available
No. Your RAC will automatically be uploaded to your RAC Library on SharePoint, and we will update the Status of that CLRF upload on your SharePoint homepage to “RAC Uploaded”.
12. I have attached the wrong unit to the cohort of learners I have registered. What do I do?
Contact a member of the Centre Support Team who will advise you.
13. The Course or Unit are not on the CLRF. What do I do?
Contact a member of the Centre Support Team.
14. How much does it cost to register my learners?
See our Fees section.
15. How long do I have to register my learners before I incur late fees
Timeframes for receipt of learner registrations are defined according to whether a course is short (15 weeks or less), or long (more than 15 weeks). For short courses, registrations must be received within 25 working days of the start date. For long courses, registrations must be received within 60 working days of the start date.
16. Once I have registered my learners, how long does it take before I get my RAC?
Our current service standard is 25 working days from receipt of a correctly completed Course and Learner Registration Form.
17. What happens if my registrations are late?
Timeframes for receipt of learner registrations are defined according to whether a course is short (15 weeks or less), or long (more than 15 weeks). For short courses, registrations must be received within 25 working days of the start date. For long courses, registrations must be received within 60 working days of the start date.
If we receive your learner registrations later than the timeframes specified, the registration must be approved by an Internal Approval Panel before we can process the details. You will need to complete the Late Registrations Notification tab on your Course and Learner Registration Form, and you will also be charged an additional £15 per learner for lates related to long courses. Charging for lates related to short courses will commence from 1 August 2012.
If it is difficult to meet these deadlines, we must be contacted and informed of any problems as there will be no waiving of late fees if there has been no prior notification.
18. There is a spelling error on my RAC. What do I do?
Please make clear alterations to the spelling error on the RAC. However, full name changes are not permitted - the learner must be certificated in the name in which they were originally registered. Spelling error corrections are the only alterations you are allowed to make on the RAC.
19. The incorrect unit/s are attached to the learners on the RAC
Please contact a member of the Centre Support Team, ensuring you have the Run ID for the group of learners and correct unit title and code. We will issue a new RAC and the incorrect RAC must be destroyed.
20. Is there a time limit on the duration of my learner registration?
There is no official time limit on the length of a learner registration. However, this depends on individual circumstances. If you think a learner is going to take a long period of time to complete their course beyond the end date you specified when registering them, you should discuss this with your Quality Reviewer. As a guide, you can claim certification up to a year after the end date of the course. After a year, we advise you to re-register the learner.
This has been a challenge for me, however through excellent guidance from OCN staff I completed the registration successfully
